RESEARCH/DOCUMENT CONTROL

SUPERVISOR

RESEARCH PROCEDURE 014 REV 01

 

Objective: Provide management, involvement, delegation, and supervision to research, setup and document control departments.

Essential Job Results:

  • Verify plat and legal information for surveys:
    • Tax plats
    • Recorded plats
    • Legal of lot & block
    • Street name
    • Right of Way
    • Easements
    • Curve data
    • Lot adjoiners
    • Plat volume, page and date
    • Flood research is preformed with FEMA documents
    • Panel number
    • Panel date
    • Scale flood zone onto the subject property
    • After flood is complete forward to field office status
    • Send a confirmation to client
    • Metes & Bounds
    • Legal description
    • Deed sketch
    • Plat
    • Forward to County Research personnel
    • Stay in constant touch with county research personnel
    • Copies are made and forwarded to appropriate department

 

  • Set up jobs
    • Pull appraisal district information from Internet by county
    • Pull addition listing from S-Track by city and addition name
    • Mapsco information needs to verify street suffix and county
    • Check all information to make sure no discrepancies
    • Check for duplicate jobs or previous jobs done in S-Track
    • Enter job into S-Track off of the legal description provided by Title Company
    • Reference Title Company and if a mortgage company is involved
    • Fax if no schedule A or B is received fax a request
    • Print File fronts glue to legal size folder
    • Status to research


  • Management Duties
    • Weekly timesheets
    • Weekly CFT spreadsheet
    • Weekly County Research spreadsheet
    • Filing out absentee reports and vacations requests
    • Employee Reviews
    • Writing and keeping up with policy and procedures for departments
    • Making sure all jobs are filed in appropriate places either here or document control or storage
    • Attending weekly CFT meetings on Wednesday
    • Attend 10 am and 2 pm briefings on jobs due out that day
    • Answer or correct any problems from other departments
    • Keeping up with county research jobs making sure they are giving to field in a timely manner
    • Making sure easement and plat pickups are completed in a timely manner
    • Making trips to Landamerica building to pick up easements & plat pickups from outside researcher
    • Keeping up with hindrance reports
    • Weekly departmental CFT meetings
    • Contact City offices for Lomar (Letter of map revisions) for FEMA
    • Monthly safety meetings
    • Monthly training classes or questions after hours improving and growing with company
    • Car inspections every 6 months for maintenance and vehicle inspections inside and out.

OBJECTIVE: Provide research and documentation

Keep up with all time on research job and input on the quote spreadsheet under each job number.

Essential Job Results:

  • Verify plat and legal information for surveys:
    • Tax plats
    • Recorded plats
      • North Arrow
      • Verify lot & block
      • Street name
      • Right of Way
      • Easements
      • Curve data
      • Lot adjoiners
      • Plat volume, page, and date
    • Stay in constant touch with research personnel
    • Fax information ASAP
    • Pull shadows from appraisal district for appropriate county
      • Locate volume and page information from shadow
      • If unable to find volume and page search by grantee
    • Warranty Deeds
      • Pull warranty deeds by volume and page
    • Adjoiner Deeds
      • Use appraisal district information for volume and page
      • Unable to find by volume and page search by grantee
    • Easements
      • Use schedule B of title work from title company
      • Pull easements by volume and page or instrument number
      • Make two copies (1 for folder, 1 for in house)
    • Final Detailed Deed Sketch
      • Placed into deed sketch bin within the Research department.
    • Field Pack made from Research
      • Make copy of plat, legal description off of title work, final deed sketch, appraisal house sketch, field check list, copy of file front from folder, and directions if no mapsco map is available.
    • Flood Zone
      • Pull FEMA map to determine if job is or is not in flood area
      • If in a flood make copy to customer service to contact client to offer elevation certificate
      • Status to Field Office

SET UP/RESEARCH

 

Job Purpose: Provide service to our customers in setting up and follow up of all survey requests

Essential Job Results:

  • Set up new jobs received from customers
    • Search our data base for duplications
    • Cross reference against Central Appraisal District and Shadow Software
    • Search our data base and pull listing of previous jobs within the same addition
    • Using Mapsco, verify street and Mapsco number
    • Review order for “Metes and Bounds” to determine need of price and time frame quote and approval by client

  • Data entry into our data base
    • Review for easements
    • Order from customer
    • Copy from our in-house forms
    • Note if we have completed previous survey of this property
    • Fax completed survey order confirmation and any requests for more information back to customer
    • Forward file to research department
    • Check for and note any curb ties, monumentation sizes, and types
  • Back up customer service
    • Answer phones as needed
    • Help and follow up for all customer invoicing questions
    • Direct calls as needed

RECORDS CLERK/DATA ENTRY

 

Job Purpose: To assist the field office with phone calls, typing, filing, data entry, preparation of spreadsheets, office supplies and status jobs for field crews. Be detailed-oriented, work in a fast pace environment and knowledgeable in Microsoft software. Help with any special projects.

Supervisor: Field Coordinator

Essential Job Results 

  • Status out daily jobs that have been worked by field crews
  • Enter quotes and builder jobs on spreadsheet
  • Help prepare absence reports and time request forms for field employees
  • Maintain timesheets, enter daily for each field employee
  • Maintain job cost report for Field Coordinator
  • Help answer incoming phone lines; Direct call to proper person, take a message or put call thru to voice mail.
  • Keep inventory of all Field supplies--keep necessary amount on hand
  • Typing/data entry timesheets, spreadsheets, reports.
  • Filing as needed
  • Assist other departments with their overflow work on as need basis
